Client Service Associate

Wellesley, MA

We are seeking a Client Service Associate with at least 3-5 years’ experience in an RIA or investment operations at a custodial bank. This individual should have strong communication, organization, and computer skills (Excel required), be good with numbers and detail oriented.

Summary: Responsible for directly supporting a financial advisory team and its clients by performing the following duties:

Responsibilities
  •  Utilizes exceptional written and verbal communication skills to manage multiple types of client and counseling team requests, working effectively in a team-based environment.
  • Demonstrates superior organizational skills and diligence in maintaining all counselor files.
  • Demonstrates accuracy and discretion in maintaining confidential financial data for clients, including personal financial statements and other various spreadsheets.
  • Interacts effectively with our asset management department, preparing forms for brokerage accounts and processing wires in and out of brokerage accounts.
  • Provides exceptional tax season support through setting up and maintaining tax season files, moving old files to off-site storage, mailing out tax organizers, and copying tax returns.
  • The ability to assist with calendar management, scheduling meetings, billing, mass mailings (tax law changes, registration documents, holiday cards, etc.), and occasional travel arrangements.
  • Familiarity with or ability to become familiar with various legal documents, such as:
    • Probate documents (wills, etc.)
    • Trusts
    • Powers of Attorney
  • Provides reception phone coverage when needed.
Requirements
  • Minimum of 3-5 years’ related experience supporting executives and working with clients
  • Exceptional interpersonal and communication skills
  • Detail oriented and possessing strong organizational ability
  • Works effectively in a team environment 
  • Knowledge and experience preferred with:
    • MS Office suite – primarily Word, Excel, Outlook (all 3 required)
    • Orion – Portfolio management and reporting
    • Wealthscape – brokerage transactions
    • CCH ProSystem fx – tax software
  • Good with numbers
  • Exercise a high level of discretion
