Jr. Client Service Associate

Wellesley, MA

We are seeking a Jr. Client Service Associate with at least 1-2 years’ experience in an 
RIA or investment ops at a custodial bank. This individual should have strong communication, organization, and computer skills (Excel required), be good with numbers and detail oriented.

Responsibilities
  • Directly support one of the firm’s Principal’s and the largest practices
  • Maintain counselor files (permanent files); tax files (set up annually)
  • Maintain confidential financial data using Excel
  • Correspond directly with clients
    • In person, on telephone, via e-mail, in writing
    • Create, gather and organize materials for client meetings
    • Work directly with clients on service questions and changes, handling complex 
      issues and problems independently
  • Interact w/Asset Management Department
    • Prepare forms for multiple brokerage accounts
    • Transactions in/out of brokerage accounts
  • Calendar management
    • Schedule meetings
    • Coordinate between counselor’s and client’s availability
  • Mass mailings
  • Tax season
    • Set-up and maintain annual client tax files, old files to off-site storage
    • Tax Organizer mailing
    • Copy tax returns as needed
  • Occasional travel arrangements, bill payments
  • Serve as backup phone coverage as backup at reception desk
  • Ad hoc assignments supporting other teams on an as needed basis
Requirements
  •  Minimum of 1-2 years’ related experience supporting executives and working with 
    clients
  • Exceptional interpersonal and communication skills
  • Detail oriented and possessing strong organizational ability
  • Works effectively in a team environment
  • Knowledge and experience preferred with:
    • MS Office suite – primarily Word, Excel, Outlook (all 3 required)
    • Orion – Portfolio management and reporting
    • Wealthscape – brokerage transactions
    • CCH ProSystem fx – tax software
  • Good with numbers
  • Exercise a high level of discretion

Must be authorized to work in the United States.
